Job description: 

We are seeking an enthusiastic and suitably qualified person to coordinate third-party access to the Collections housed at the Film Archive. Access to the collections is subject to preservation requirements and clearance from rights holders. As kaitiaki, the Film Archive has a responsibility to ensure that the material in its care is used in a way that is consistent with contractual undertakings made with depositors, and that cultural and ethical standards are upheld. The purpose of the position of Client Services Coordinator is to provide information and a footage access service to clients.

In practice this involves responding to requests, undertaking research, advising referrals and copyright clearances, arranging internal or external technical transfers, drawing up and issuing footage sales contracts, orders and invoices, in addition to monitoring compliance under the terms of footage supply and use. It also includes arranging loans to festivals, museums, corporate events, etc, as well as assisting film students with course projects and clients with personal or family connections to films.

This position would be suitable for somebody who:

  • has highly developed interpersonal communication skills and a strong customer focus.
  • enjoys dealing with clients, being friendly and helpful while working productively with the tensions arising from balancing the needs and timescales of the production community alongside core archival imperatives (preservation, cultural, technical and ethical).
  • liaises sensitively and appropriately with copyright holders, iwi representatives and depositors to ensure the
  • appropriate clearances, whether for stills or moving images, are obtained and recorded in each case.
  • has highly developed written skills, and demonstrates an ability to structure information logically and to portray ideas clearly in written work.
  • can develop sound knowledge of the general technical characteristics of moving image formats in the collection, using the archive’s CMS database to determine the correct technical routes for access according to archival standards.
  • has the ability to liaise with both the Archive’s internal duplication service, and the external production
  • community, to ensure the client and/or the Archive’s technical specifications are met.
  • maintains accurate records of people, clearances and workflow processes within the archive’s CMS database.
  • has experience with MacIntosh OSX and collection management software.
  • has an understanding of NZ copyright law pertaining to NZFA Collections.

 

A post graduate qualification in Museum/Archive Studies or New Zealand History or Information Management or Film/Media Studies would be an advantage

A commitment to the principles of the Treaty of Waitangi is expected.

    The Film Archive

    The New Zealand Film Archive has three key missions: to collect,
    protect and project New Zealand's moving image heritage.

    Having just celebrated its 30th year of a unflinching commitment to New Zealand’s film and television history, the New Zealand Film Archive is an independent charitable organisation.

    Housed within the Film Archive are more than 120,000 films, videos and television programme from 1895 to the present day. Every genre of film making – feature films, documentaries, short films, home movies, newsreels, TV programmes and advertisements – can be found at the Film Archive, meaning it’s a great source of information of New Zealand’s cultural past and present, as well (of course) as a great source of entertainment.

    But the Film Archive is more than just film. There is also a significant documentation collection which includes publicity materials, stills, posters, production records, props, costumes and equipment housed in Wellington.

    The Film Archive draws on its rich repository from the collections for regular screenings and events in its purpose-built cinema and gallery in Wellington, with screenings also held regularly around New Zealand as part of the community access and Te Hokinga Mai programmes.

    The Archive has research libraries in Wellington and Auckland available at no cost to the public, with staff on hand to assist.

    And from Wellington, the Film Archive is meeting the interests of New Zealanders from all corners of the country through its Medianet initiative, which is a network of digital access sites in art galleries and museums across New Zealand with more signing up each year.
