ADMINISTRATION MANAGER POSITION PROFILE
To ensure the smooth running of all administrational matters, including accounts, agreements, correspondence, filing systems and meetings for the Titirangi Festival of Music 2010
Key Relationships:
Festival Manager, Accounts Person, Fundraising Manager, Festival Team
Key Tasks:
l Generally assist with daily office and administrational tasks
l Organise and facilitate Festival meetings as required including agenda preparation and minute taking
l Sourcing and maintenance of office equipment, stationery
l Research and collate information as required
l Support the Festival Staff with their administrational requirements, eg. write up agreements and attend telephone calls
l Work to a budget provided by the Festival Manager
l Update and maintain the festival contact database
l Keep a purchasing register and an accounts payable register for the accounts person
l Keep a staff register with timesheets, prepare pay roll for staff and artists and pass information on to accounts person
l Submit all Festival documentation, including time sheets, to the Festival Manager, no later than Thursday 1 April 2010
l Produce a report about this position and the tasks involved, including a summary, any difficulties, evaluation and review of the position and recommendations for the future no later than Wednesday 14 April 2010
Personal Characteristics:
l Strong organisational and communication skills
l Ability to remain calm under pressure
Qualifications:
Previous administrational experience required. A good understanding of accounts, book keeping and filing systems essential.
