Job description: 
  • A 30 hour per week position located at 110 Moray Place Dunedin.
  • Oversee the administration of the Fringe office on a day-to-day basis including answering the phone, responding to enquiries as needed, collecting and posting mail, banking, and purchase of stationary or supplies.
  • Be the first point of contact for all queries from artists and other interest groups.
  • Coordinate mail-outs and assist with correspondence as required.
  • Support the director in preparing material for funding applications and reports.
  • Assist in the development and maintenance of an artist, volunteer, organization and supplier database.
  • Input all payments and receivables into MoneyWorks accounting programme on a weekly basis.
  • Prepare and send invoices and statements to customers.
  • Manage petty cash system including entering all transactions in MoneyWorks.
  • Prepare and print all financial reports prior to board meetings (Balance Sheet, Profit & Loss, Payables and Receivables, Cash Position).
  • Oversee recording and payment of staff wages including the wages book, kiwisaver obligations and the signing and filing of staff time sheets.
  • Process and file PAYE and GST returns by the due date.
  • Assist with processing artist registrations and artist information for the Fringe Festival Guide.
  • Manage floats for Festival venues and banking of box office income.
  • Coordinate the distribution and collation of event evaluation forms to audiences, artists and other stakeholders.
  • Assist with the promotion of Festival events.
  • Assist with the recruitment and coordination of volunteers.
